The Customer Service Representative position provides superior customer service to CCSF clients and Agency staff. Is responsible for the professional representation of the Agency to the community over the phone and in the office. Operates a multi-line telephone system in a fast paced, client based office environment. Provides general office and staff support including mail services, supplies administration and vendor relations.
FRONT DESK DUTIES:
-Answers agency multi-phone lines and operates voicemail system, taking accurate and complete messages and/or routing calls as appropriate to staff members.
-Provides customer/client services information to community, answering inquiries regarding agency services.
-Receives provider timesheets, date stamp and route them to the Subsidy Payments Department.
-Receives all walk-in clients in the reception area, routing guests to appropriate areas or staff when necessary.
-Actively greets and professionally acknowledges agency clients and visitors.
-Assists with all signage for the Agency.
-Understands Agency’s programs and answers questions as needed.
-Monitors and maintains a clean, safe and orderly environment in the front office area including children’s play area, client kitchenette, client restrooms, desk areas, water office plants, etc.
-Reports safety hazards to Operations Manager. Monitors public areas for safety.
-Assumes tasks from absent CSR as back up support ensuring all daily tasks are completed.
-Provides front desk security by monitoring visitor traffic and issuing guest passes as needed.
-Announces and participates in evacuation procedures.
-Receives and logs all deliveries (couriers and vendors).
-Maintains and updated list to monitor daily absences or not availability of Agency staff.
-Monitors parking in front of building and side parking lot.
-Utilizes Operations Database for Facility Requests.
OFFICE SUPPORT RESPONSIBILITIES:
-Handles all agency mail needs, including incoming and outgoing mail, inter office mail and incoming mail.
-Executes special mailing services such as Certificate of Mailing, bulk mailing or other as needed.
-Assists with maintaining copiers and other office equipment. Call for servicing when needed.
-Reports any phone related or office machines problems to the Operations Manager and Office Coordinator.
-Calls vendor services as per Operations Manager requests such as telephone repairs or changes, copiers and other office equipment, electrician, plumber, janitor, elevator, etc.
-Maintains kitchen areas, restocking and replenishing as needed.
-Is responsible for all meeting and conference room neatness, organization and stock.
-Maintains all copier toners and work areas in all floors as needed as backup support.
-Performs weekly/monthly inventories of general office and janitorial supplies, under Operations Manager and/or Office Coordinator supervision. Recommends ordering supplies as needed.
-Maintains paper and office supplies stocks at par levels in all floors as needed.
-Maintains and organizes office supplies in the mail room under Office Manager or Office Coordinator instructions.
-Decorates front office for seasonal/special events.
-Prepares and posts the Agency weekly calendar.
-Prepares and post the meeting rooms weekly calendars.
-Back up Office Coordinator in checking/counting all deliveries and distribution to requestors.
-Performs other relevant duties as assigned. |

Skills:
|
|
-High school diploma required.
-Minimum 2 years Administrative Assistant experience.
-Demonstrates good judgment, excellent attendance and punctuality.
-Have a professional manner and a high energy level; exhibits a positive attitude.
-Works well in a high stress, fast paced environment.
-Ability to communicate and handle a wide variety of situations dealing with a diverse population.
-Ability to deal effectively with heavy multi-line phones, voice mail, mail machines and fax machines.
-Knowledge of PC Windows, Outlook e-mail and MS Office.
-Bilingual in English and Spanish
-Ability to sit at a desk for extended amounts of time
-Ability to stand for extended amounts of time
-Manual dexterity to use a telephone and computer
-Ability to hear and understand speech at normal room levels, and to hear and understand speech on the telephone
-Ability to speak in audible tones so that others may understand clearly in normal conversations and over the telephone
-Physical agility to lift and carry up to 20 pounds and to bend, stoop, walk and reach overhead
-Physical agility to push/pull, squat, twist and turn
-Mental acuity to perform the essential functions of this position in an accurate and timely fashion; to make good judgments and decisions; and to evaluate the results of decisions and judgments
