Regional Administrative Assistant: Latin America and the Caribbean

The National Democratic Institute for International Affairs (NDI) seeks a Regional Administrative Assistant to join its LAC team and provide logistics and administrative support to the team. This position is based in NDI's Washington, DC office.

Responsibilities:
Provides support to the team in logistical, operational and administrative matters and in coordination with respective administrative teams
Works with the program staff, short-term consultants, NDI's travel agent and the operations team to assist with the coordination and support of staff travel and events
Updates and maintains team filing systems, databases, briefing materials, schedules, calendars and other team related information
Assists in monitoring budgets, grants and expenditures for program reconciliations and reviewing documentation of NDI program expenditures
Assists in the implementation of institutional systems and administrative processes related to managing overseas offices, in coordination with respective administrative teams
Assists with the tracking and distribution of team office supplies and team equipment, including computers and other electronic equipment
Completes and submits documentation for travel-related authorizations and expenses, including per diem and travel reimbursements, and financial reconciliations as appropriate
Translates documents between English and Spanish, including trip agendas, correspondence, and program documents
Performs other duties and special projects as assigned

Qualifications:
Associate's degree or equivalent from a two-year college in business administration or relevant field. Additional years of relevant work experience may be substituted for educational requirement on a one-for-one basis
A minimum of two years of experience in office administration
Excellent verbal communication skills
Proficiency in Spanish and English is required
Strong attention to detail
Capacity to work both independently and as a member of a team
Good interpersonal skills to effectively interact with all levels of staff, U.S. and foreign staff members and trainers, and administrative, logistical, and operational contacts
Working knowledge of PC-based word processing and spreadsheet applications
Experience with Google Apps (Gmail, Calendar, Google Drive) strongly desired
Ability to work with and handle sensitive materials discreetly
Experience and familiarity with US Government grants preferred
Ability to work on short deadlines
