GENERAL SUMMARY

Under limited supervision, perform various duties associated with daily clinic preparation process, patient identification, patient check in and checkout, quality assurance, charge posting, cash management and patient appointment scheduling.




PRINCIPAL DUTIES and RESPONSIBILITIES

Greet patients and perform patient registration and check in, entering patient information into computer systems in an expedient, accurate manner. Checkout patients, review patient charges for completeness and accuracy and collect payment where applicable. Schedule patient appointments and follow-up appointments. Create and manage patient medical records. Demonstrate ability to convey a positive image and provide information to ensure patients can appropriately access and utilize services. Receive incoming inquiries by phone and/or in person over the service counter and determine proper handling to minimize need for subsequent referral.

Communicate to patients the departmental policies and procedures related to their needs and provide patients with appropriate forms and instructions.

Answer and resolve complex inquiries from patients relative to services provided, or other University policies and/or programs which might be appropriate to the individual's service needs.

Demonstrate a high level of confidentiality when providing patient services and during all forms of communication. Adhere to Federal HIPAA regulations that apply to clinic operations with respect to privacy and accessibility of medical records. Demonstrate a high level of patient service and interpersonal communication skills (i.e. courtesy respect, tact, effective and accurate communication, and sincere desire to meet patient needs).

Use medical management information system to process transactions, resolve patient problems and to collect information.

Obtain necessary information and process service requests. Receive, read and interpret correspondence and determine proper handling.

Interact with other university departments either by phone or e-mail to resolve questions or problems to facilitate service for patients. Maintain a neat, professional, and welcoming environment.

Adhere to any and all federal and state health care facility related and Eastern Michigan University policies, rules, regulations, and operational procedures. Order office supplies and other items necessary for routine clinic operations. Perform periodic quality assurance tasks as assigned.

Perform related departmental duties, as required.


QUALIFICATIONS

Ability to read, write, interpret instructions, and perform basic arithmetic calculations, typically acquired through the completion of a high school education, is necessary in order to perform operational activities in support of patient service functions.

Three years of satisfactory customer/patient service related clerical/secretarial experience, preferably within a medical office setting, or through the completion of a related Associates degree in the medical field and one year of related experience is required. The ability to manage medical records and accurately handle billing procedures is required.

The ability to communicate accurately and pleasantly with patients (across a wide diversity of cultural backgrounds) is necessary in order to identify patient needs and solve patient problems.

The ability to communicate moderately to highly complex policies, procedures, and regulations and to ensure understanding of these while working under pressure (e.g. handling several requests at the same time) is required.

Effective conflict management skills are required (e.g. defuse emotionally charged situations, clearly identify issues, clearly communicate procedures for resolving issues, working with the patient to develop a resolution acceptable to the patient and the work unit).

Knowledge and understanding of University policies, systems, procedures and regulations as they pertain to the work unit and to areas of the university that interact with the work unit is desired.

The ability to manage, input and extract data from a medical information computer system is required. Familiarity with HIPAA regulations and medical terminology is desirable. A specific typing speed may be required depending on department needs and it should be noted at time of posting.
