The Corporate Real Estate Lease Administration team is responsible for managing and administering Apple’s corporate lease obligations, reporting of portfolio key data and critical dates, maintaining the system of record, processing of rental payments and developing relationships with local property managers and landlords. The team works with many internal cross-functional business partners including Facilities, Project Management, Legal, Tax, Risk Management, Corporate Accounting and Finance. In addition, the team works with many external business partners such as outside legal counsel, third-party consultants and landlords.

In addition, this position will also be the IBM TRIRIGA System Lead for the Corporate Real Estate & Development team acting as the main interface between various teams such as IS&T, Finance, Technical Accounting, eBiz and others during the system implementation project currently underway. Responsibilities related to the IBM TRIRIGA implementation will include: participation in the design, build, test phases of the project, user testing and data validation and migration. Position will work closely with third-party on lease abstraction and data migration process and ensure proper operational processes and lease management systems are in place to comply with upcoming FASB lease accounting and reporting standards. Position will also be required to interface with other Corporate Real Estate functions to ensure alignment across IBM TRIRIGA modules (Real Estate Management, Space Management and Facilities Maintenance). Support and manage global training process and tools. Liaison
with IS&T on future enhancements and updates as required.

Description:
Responsibilities Include:
•Main point of contact and primary lead for IBM TRIRIGA implementation for Corporate Real Estate;
•Liaison with IS&T, Apple Retail, Apple Finance and Accounting Teams, eBiz, other RE&D teams and third-party partners regarding all system interface and integration issues;
•Ensure 100% data integrity such that lease documents are interpreted, abstracted and entered into the system of record accurately;
•Manage the system of record and work with third-party system provider as required;
•Ensure that all payments of rent and operating expenses, including property taxes, are in compliance with lease terms, and payments timely processed to landlords;
•Ensure timely processing of property tax payments direct to taxing authorities for those properties not paid to landlords;
•Ongoing verification and abstraction of lease information and appropriate updating of the database, as needed;
•Responsible for new lease set up to include obtaining vendor payment information and contacts, insurance certificates, database updates, site notifications, utility transfers and Apple Directory set-up;
•Responsible for organization and maintenance of physical documents for all owned, leased and prospective properties;
•Manage collection of tenant allowances due from landlords;
•Manage and administer any leases/subleases Apple has with other parties (as landlord or sublandlord);
•Draft lease correspondence and notices, review/validate estoppels, address and resolve landlord/tenant payment issues, and monitor leases/amendments for rent start-up, operating expense changes, changes in ownership, alteration consent, and lease terminations;
•Oversee day-to-day landlord relationships regarding account receivables and maintenance issues;
•Research and prepare comparative and financial analysis of real estate matters, keeping current records of all leased properties;
•Review and perform desktop audits of operating expense payments, reconciliations, billings and estimates. This includes comparing landlord's calculations to lease requirements/provisions;
•Coordinate document execution and notarization where applicable;
•Monitor, prepare and distribute all real estate Key Date reports;
•Support Real Estate Director and Real Estate Managers as required;
•Provide lease financial obligation for company reporting purposes.
Skills:  
Key Qualifications:
•Minimum of 7 years of related experience
•Demonstrated extensive hands on Lease Administration experience;
•Ability to review, interpret and abstract legal real estate documents;
•Experience with database/records management;
•Proven track record of successfully completing challenging projects and managing multiple priorities;
•Negotiating experience, attention to detail and strong interpersonal skills required;
•Proven financial, analytical and creative problem solving skills;
•Demonstrated ability to understand/influence the business and build effective partnerships;
•Excellent oral and written communication skills;
•Proven track record of meeting deadlines in a fast-paced and dynamic environment.

BA or BS or equivalent
