Illinois Wesleyan University invites applications for the Executive Assistant to the President position. The Executive Assistant to the President functions as a key member of the Universityís administrative team and serves as Assistant Secretary to the Board of Trustees. This individual serves as the primary liaison with other Executive Staff on any matter of interest to the President. The Executive Assistant performs high-level administrative functions that require a thorough knowledge of University policies, procedures and operations while exercising initiative and independent judgment in managing the Presidentís schedule, overseeing daily operations and communications of the Presidentís Office. This person has primary responsibility for campus-wide events including Commencement, Convocations and some Alumni and donor gatherings. Considerable discretion, judgment and diplomacy are imperative in this position.

Responsibilities: The duties of this position include, but are not limited to, the following areas of responsibility within the Presidentís Office:

Chief of Staff: Provides high-level support to the President and oversees the implementation, tracking, follow-up and accurate completion of initiatives and special projects established by the President and Vice Presidents. Sets the agenda for the Presidentís Cabinet and coordinates the implementation of action items. Acts as the liaison between the President and Cabinet members, administrators, faculty, staff and students to ensure effective communication between the President and both internal and external constituencies. Supports effective, collaborative and strategic decision making by gathering information on a variety of issues in order to advise and assist the President. Has primary responsibility for scheduling the President, identifying both opportunities and constraints, and handles questions, concerns, issues and other requests on the Presidentís behalf. Serves as the Presidentís representative on certain internal and external committees.

Executive Assistant: Relieves the President of administrative and operational details with a thorough understanding of the Presidentís priorities and the Universityís policies, procedures and modes of operations. Facilitates the effective utilization of the Presidentís time through the development and coordination of a complex calendar of appointments, meetings, social engagements, travel requirements and University and community functions. Provides oversight for the Office of the President by reviewing, monitoring and approving speaking, budgetary and other requests. Coordinates the flow of incoming and outgoing communication to all constituencies. Maintains strict confidentiality by exercising discretion at all times.

Liaison to the Board of Trustees: Serves as the liaison for the Board of Trustees by answering their questions and ensuring that they are able to work efficiently. Plans for Board and Executive Committee meetings, sets agendas and secures logistics. Acts as Assistant Secretary and takes minutes of committee meetings. Communicates directly and on behalf of the President with Board members on matters relating to the Boardís interactions with the Office of the President.

Event Planner: Facilitates the success of annual and ad-hoc events hosted by the Presidentís office including Commencement and three annual Convocations, and for events hosted jointly with the Advancement Office. Oversees the scheduling and implementation of events with appropriate offices. Uses independent judgment regarding event alternatives, modifications, or last-minute changes. Coordinates support during the events. Coordinates travel to support the Presidentís attendance at off-campus events.

Minimum Qualifications: The successful candidate must have at least a Bachelorís degree, Masterís Degree preferred, and a minimum of five years of relevant experience in higher education or similar administration. Some evening and weekend working hours are required. There is occasional overnight travel.
