The Job
The Opportunity Network is seeking a top-performing, highly motivated Executive Assistant to the CEO to perform a range of administrative functions to maximize the CEO’s time and effectiveness. A unique opportunity to work closely with a dynamic social entrepreneur and the rest of the organization’s leadership, the Executive Assistant will play an integral role in executing day-to-day operations in a high-growth environment. The candidate will coordinate with the development, program and administrative teams on a range of activities.

The Person
The ideal candidate will personally connect to the important work we do and value diversity, equity, and inclusion (DE&I) across the organization. The candidate will demonstrate DE&I values by actively participating in all organizational-wide learning sessions and self-reflection as well as working with others to enact changes that contribute to meeting the organization’s DE&I goals. The candidate should possess outstanding professionalism and discretion, organization and attention to detail, energy and initiative, the ability to prioritize and complete a variety of tasks on time, and a willingness to work on a wide range of assignments.

Administrative support for the CEO

Operations and Logistics
Arrange and oversee intricate travel arrangements and preparation
Coordinate objectives and gather necessary materials for internal and external meetings so CEO is prepared for each meeting
Assist in the management of the daily operations of the office of the CEO including arranging deliveries, updating contacts, and conducting research
Work in partnership with the Office Manager to ensure office policies are generated, updated, and followed

Calendar Management
Create and manage scheduling strategy to optimize CEO’s effectiveness o Ensure priorities are managed; daily and long-term requests are addressed
Anticipate the CEO’s needs and proactively bring together appropriate people and other resources to support the CEO in addressing issues

Expense Management
Manage and submit monthly expense reports for the CEO and COO

Constituent Communication and Support
Manage all-staff organizational communications on behalf of CEO, including taking notes, drafting
memos, creating agendas, and coordinating feedback from staff to the CEO’s office
Interface with Board of Directors, manage board correspondence and communication, and track
quarterly board meeting RSVPs and attendance
Maximize efficiency for C-Suite management team

External Relations
Support the development of a variety of external communications on behalf of the CEO, such as
correspondence with peer organizations, our PR firm, conference organizers, etc.
Prepare CEO for internal and external meetings and conduct follow-up on the CEO’s behalf
Research in advance of press and speaking opportunities

Special Projects
Support the Program and Development teams in event planning, especially for annual benefit
Play an active “citizenship” role in organization-wide initiatives across functions

The successful candidate will possess the following assets and attributes:

Bachelor’s degree from a U.S. accredited college/university
Prior experience in a fast-paced, high-standards environment

Maturity, professionalism, poise, and excellent judgment
Superior organizational skills and detail-orientation Strong customer-service orientation
Proven ability to juggle multiple projects and drive toward deadlines

Excellent oral and written communication skills
Comfort in team-oriented environment based on open, transparent and continual communication,
information sharing and inclusive decision-making
Open to feedback and professional development
Capable of “managing up” to ensure deadlines are met
Integrity; respect for confidential information
Proficiency with Microsoft Word, Excel, and PowerPoint
Availability and flexibility to work some weeknights and weekends
