POSITION SUMMARY

The Event Production Manager is responsible for overseeing all production aspects of events and programs planned by both internal Museum staff and external rental clients. The Manager is a member of the Center for Administration and Business Operations and works with rental clients, caterers and other outside vendors, and Museum staff across multiple departments to coordinate and execute the logistical details of internal and external events. This position works closely with the Event Sales team and directly with clients to provide outstanding client service and to ensure events are successful. The regular schedule will be Tuesday through Saturday, including some evenings and Sundays as needed.



ESSENTIAL DUTIES AND RESPONSIBILITIES

INSTITUTIONAL RESPONSIBILITIES

POSITION DUTIES AND RESPONSIBILITIES

  • The Event Production Manager supervises, trains and schedules OMCA event production staff including the Production Technician and Event Services Leads, and coordinates the scheduling of services managed by others at the museum, such as audio-visual, security, janitorial, engineering, garage, and other internal resources required to produce the event
  • Oversee the production of events; meet with internal and external clients prior to events to ensure all details are arranged
  • Maintain museum-wide calendars. Resolve scheduling conflicts if they arise. Work closely with Events Sales team to maximize efficient and cost-effective use of space
  • Communicate and represent to museum decision-makers the needs and requirements of event production
  • Respond to event and program production inquiries from Museum staff and community groups and ensure appropriate forms and protocols are followed. Serve as primary point-of-contact for staff, rental clients and contractors during event planning and serve as Event Lead when appropriate
  • Manage client timeline, checklist and all pre-planning duties for client in the months leading up to the event. Schedule and attend client and vendor planning meetings and site walk-throughs. Serve as primary point of contact for all outside vendors
  • Assist with development of department operating budget and provide cost information to internal clients, and community strategic partners as appropriate
  • Connect client with necessary vendors and public permitting agencies and facilitate those relationships
  • Supervise all day-of event logistics from set up through break down, stepping in to assist as needed. Supervise museum staff and vendors at events, as appropriate, to ensure adherence to the museum's event standards and protocols
  • Coordinate internal logistics across multiple departments and work closely with Facilities and Operations staff, Engineers, Custodial, and Security to ensure smooth set up, implementation, breakdown and final cleanup of event
  • Inventory, maintain, and purchase event production operating supplies, equipment and furniture, uniforms, etc
  • Assist with the development, documentation, and implementation of written policies regarding event production operating procedures
  • Conduct post-event evaluation meetings to identify areas of improvement. Revise procedures as needed and in response to changing conditions
  • Assist in developing employee schedules and work assignments. Manage assigned staff, including selection, job assignments, training and development, counseling, performance appraisal, and recognition actions in order to assure success in functional area of expertise and proficiency at coordinating flawless events
  • Conduct orientation and training for museum partners and vendors on producing events at OMCA.
  • Ensure safe working conditions and implement health and safety policies, and as appropriate, personnel policies in the daily work setting. Comply with OSHA safety regulations. Identify and suggest corrective action as necessary
  • Perform other duties as assigned



EXPERIENCE

A combination of experience and education that demonstrates possession of the necessary knowledge and abilities for this position is required as noted:

  • Ability to deliver results, facilitate and influence others and problem solve beyond temporary solutions
  • A minimum of four years working in an operational capacity for a catering company, hotel, banquet hall, or other unique catering venue required Experience in Hotel & Restaurant Management strongly preferred
  • Associate degree in Business Administration or related field preferred
  • Two years of relevant supervisory experience required
  • Strong customer service skills and orientation
  • Strong management and organizational skills working in a team-oriented environment
  • Strong communications, coaching, motivational, and interpersonal skills
  • Ability to prioritize and handle multiple priorities simultaneously and deliver in terms of execution. Successful coordination of multiple projects and activities is a must
  • Ability to work effectively under pressure and meet strict deadlines
  • Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience. Multilingual ability, Spanish fluency a plus
  • Cultural Institution or Non-Profit experience a plus


WORK ENVIRONMENT

While performing the duties of this position, the employee is frequently exposed to the following:
