Position Overview
The primary responsibility of the Service Planner and Scheduler is to maximize the company resources (labor hours, equipment and supplies) to ensure company profitability while delivering amazing customer service to both internal and external customers.
Essential Job Duties
• Develops, publishes, and maintains the master weekly/monthly/annual schedule, balancing labor capacity, equipment inventory and fleet levels with customer demands and available field personnel.
• Collaborates with Operations Team to finalize the weekly plan and forecast upcoming projects.
• Develops and maintains appropriate measures of performance versus forecast and plan.
• Analyzes forecast of upcoming contracted work, makes plans and adjustments to plans; prepares communications to operations and customers.
• Prepares work orders and customer notifications. Dispatch field crew members.
• Responds to and communicates changes in schedule, adjusting the calendar schedule as appropriate to meet customer demand and available resources.
• Identifies and expedites alternative solutions and recommendations to meet unforeseen conditions such as schedule delays, alternate schedules, changes in customer requests, employee absences, etc.
• Relay and record field personnel assignment accurately; prepare work orders. Dispatch
• Must demonstrate excellent customer service skills, interact with customers and field staff via phone, email and fax
• Communicates with department supervisors to determine status of assigned projects.
• Communicates scheduling status changes to customer service and account managers.
• Expedites operations that delay schedules and alters schedules to meet unforeseen conditions.
• Prepares lists of required materials, tools and equipment. Coordinates delivery of rental equipment and safety inspections as needed.
• Develops and maintains processes and procedures for Scheduling department and/or continuous improvement.
• Become an expert with the company scheduling/database software
• Perform other administrative duties as assigned.
Skills:  
Requirements
• Minimum 3 years of scheduling and planning in the Commercial service-related industry and or equivalent combination of education and experience
• Must be fluent in English and Spanish. Writing and Speaking.
• Extremely detail oriented
• Must be able to multi-task
• Expert in Microsoft environment. Outlook, Word and Excel
• Previous experience with scheduling software
• Finance and accounting experience a plus, but not necessary
• Must be team oriented, customer oriented, enthusiastic, and have tons of positive energy
• College degree or equivalent experience
• Excellent communicator, self-motivated and able to work independently and with teams
