Job Description

The Administrative Assistant position mainly supports company-wide office supply purchases, travel arrangements, and store operations. The ideal candidate possesses strong data analytical skills, communication skills, writing skills, and the ability to multitask in a fast paced environment. The employee will have interaction with vendors, internal departments, and stores. The Administration Office’s function is broad, often supporting the roles of other departments.

Basic Responsibilities

1) Order, receive, and inventory office supplies; assist with distribution

2) Verify and ensure accuracy to invoices, packing slips, credit card transactions, and other documents regarding deliveries and services for the corporate office; contest charges as needed

3) Reconcile, control, and allocate purchase expenses and costs to the appropriate departments

4) Research and develop vendor base; negotiate service agreements to better fulfill operational needs

5) Schedule and manage travel arrangements

6) Pulling data and creating analytical summaries such as tables, charts, and short descriptions

7) Ability to create forms and templates

8) Assist with receptionist duties, including, but not limited to, answering and directing incoming office phone calls and customer service related functions

9) Assisting with property management related concerns and appliance maintenance

10) Communicate with stores and collaborate in cross-functional teams to fulfill project needs

Specialist

1) Ability to create content, materials, and policy pertaining to operations

2) Technical writing experience

3) Project management skills

4) Data analysis skills

Requirements

Ability to maintain confidentiality

Exceptional organizational skills

Strong interpersonal skills, including experience in establishing and maintaining relationships with individuals at all levels of a company organization, within the business community, and with vendors

Ability to follow directions and work with others

Problem solver with flexibility and ability to proactively troubleshoot

Ability to memorize names and people

Ability to meet deadlines and prioritize multiple projects

Excellent verbal and written communication skills

Accounting experience, a plus

Bilingual in English and Chinese/Spanish preferred

Minimum Requirement
•Bachelor’s degree or two year’s work experience
•Computer literate:

o Advanced skills in MS Office Suite, particularly Excel and Word

o Knowledge of Google Apps, Adobe Acrobat

o SAP knowledge, a plus

Must be legally authorized to work in the U.S
